Workday Intern (Archivist)

About the role

Join SoftConstruct as a Workday Intern (Archivist) and help transform physical HR records into organized digital files. You will work closely with the HR team to ensure accurate and secure digitisation of employee documentation.

Key responsibilities

• Sort, re‑order, and systematically organise physical personnel files before scanning.
• Operate scanning hardware and software to create high‑quality digital files following naming conventions.
• Audit document details line‑by‑line, correcting errors in names, dates and employee IDs.
• Inspect files for missing records, signatures or pages and coordinate with team members to obtain them.
• Ensure digitised documents align with current Workday employee profiles for clean batch uploading.
• Maintain strict compliance with privacy policies and data‑protection regulations.

Required profile

• Currently pursuing or recently completed a Bachelor’s degree in HR, Business Administration, Records Management, Information Systems or a related field.
• Meticulous attention to detail with a low error rate when reviewing personal data.
• Strong file‑management abilities for large volumes of physical and digital records.
• High level of discretion and ethical standards when handling confidential information.
• Clear written and verbal communication skills for follow‑up on missing paperwork.

Required skills

• Basic office technology: scanners, PDF creation, file managers.
• Microsoft Excel and Word.
• Familiarity with Workday or other HRIS tools (a plus).
