People & Business Operations Specialist

About the role

We are seeking a People & Business Operations Specialist to join TraceAir’s HR team. The role blends financial, administrative and people‑related processes, focusing on maintaining and improving workflows rather than traditional accounting. You will work closely with team leads, HR, Finance, the CFO and external partners to ensure accurate, efficient and automated operations.

Key responsibilities

• Collect budgeting data from team leads, review, obtain CFO approval and maintain an up‑to‑date budget log.
• Prepare monthly payment files, coordinate payments to employees, contractors and freelancers, and produce monthly/quarterly financial reports.
• Maintain contractor and entrepreneur documentation, support onboarding/offboarding and liaise with external accounting and legal providers.
• Review existing workflows, identify inefficiencies or risks and propose process improvements.
• Automate repetitive tasks using spreadsheets, AI tools or other solutions, and ensure processes remain documented and scalable.

Required profile

• Fluent in Russian and English.
• Meticulous, comfortable working with numbers and documents, and able to work independently without step‑by‑step instructions.
• Strong analytical mindset and ownership attitude.

Required skills

• Proficiency with spreadsheets (Excel or Google Sheets).
• Experience using AI‑based automation tools.
